We are currently looking for a Project Management Professional – HRIS Project to support the successful implementation of our global Human Resources Information System (HRIS).

The Project Management Professional will be part of the Digital Solutions team under the supervision of the Head of Enterprise Applications and the Henka Programme Manager. The role will work closely with the Global HR team, Digital Solutions team, project workstream leads, business stakeholders, implementation partners, external vendors, and other project members to ensure effective planning, governance, communication, and execution throughout the HRIS implementation lifecycle.

  • Support the overall project management and coordination of the global HRIS implementation.
  • Develop, maintain, and monitor the integrated project plan, ensuring milestones, dependencies, and deliverables are tracked.
  • Organize, schedule, facilitate, and document project meetings, workshops, steering committees, and workstream sessions.
  • Prepare meeting agendas, capture minutes, document action items, and follow up to ensure timely completion of assigned tasks.
  • Coordinate activities across business, HR, IT, and implementation partner teams to ensure project alignment.
  • Maintain project governance documentation, including RAID (Risks, Assumptions, Issues, Dependencies) logs, decision logs, and action trackers.
  • Proactively identify project risks and issues, facilitate discussions with stakeholders, and support mitigation and resolution planning.
  • Develop and maintain project communication plans to ensure stakeholders receive timely and appropriate project updates.
  • Prepare weekly project status reports, executive dashboards, presentation decks, and steering committee materials.
  • Consolidate progress updates from multiple workstreams and produce accurate project reporting for leadership.
  • Monitor project deliverables, timelines, and resource commitments, escalating delays or blockers where necessary.
  • Support project planning activities, including project kickoff, phase planning, milestone planning, cutover preparation, and project closeout.
  • Facilitate project plan walkthroughs with stakeholders to ensure alignment on timelines, responsibilities, and upcoming activities.
  • Coordinate project documentation and maintain repositories using collaboration tools such as SharePoint, Microsoft Teams, or similar platforms.
  • Track project KPIs and support reporting on project health, schedule performance, and delivery status.
  • Assist in change management and organizational readiness activities by coordinating communications, training schedules, and stakeholder engagement activities.
  • Ensure project governance processes, documentation standards, and reporting requirements are consistently followed.
  • Support the Programme Manager in ad hoc project management activities and continuous improvement initiatives.
  • Bachelor's degree in Business Administration, Information Technology, Human Resources, Project Management, or a related field.
  • Minimum of 5–7 years of experience in project coordination or project management, preferably in HRIS, ERP, or enterprise digital transformation projects.
  • Experience supporting end-to-end system implementation projects is highly desirable.
  • Strong knowledge of project management methodologies, governance, and reporting practices.
  • Experience maintaining project plans using Microsoft Project, Smartsheet, or similar planning tools.
  • Advanced proficiency in Microsoft PowerPoint, Excel, Word, Teams, and SharePoint.
  • Excellent organizational skills with strong attention to detail and the ability to manage multiple priorities simultaneously.
  • Strong communication and stakeholder management skills with experience working in multicultural and geographically distributed teams.
  • Ability to proactively follow up on actions, coordinate stakeholders, and drive project activities to completion.
  • Familiarity with HR processes or HR systems (e.g., SuccessFactors, Workday, Oracle HCM, UKG, or similar HRIS platforms) is considered an advantage.
  • Project Management certification (PMP, PRINCE2, CAPM, Agile, or equivalent) is an asset.
  • Fluent in English, both written and verbal.
  • Additional relevant knowledge or experience related to the above requirements will be considered an advantage.
