The School of Medicine Employment Operations (MEO) group is a centralized, service-driven organization responsible for delivering high-quality faculty recruitment and employment operations across the School of Medicine. MEO partners with academic, research, and clinical departments to support the full employee lifecycle that enable the School to advance its missions of education, discovery, and patient care. The Senior Faculty Recruiter provides advanced, professional-level support for faculty and clinical associate recruiting for assigned customer groups within the OHSU School of Medicine (SoM). As a team member in the School of Medicine Employment Operations (MEO) group, this role operates with a high degree of independence and discretion across the spectrum of assigned responsibilities. This position regularly partners with departments across SoM to develop and implement full-cycle, strategic faculty recruitment plans. The position is also expected to serve as a subject matter expert on one or more key responsibilities. Under limited direction from the Senior Manager of Faculty Recruiting, the Senior Faculty Recruiter plays a critical role in facilitating consistent, positive, and impactful candidate engagement for hard-to-fill positions. This position will develop and adapt recruitment strategies aimed at attracting and retaining talented members to join the team. You will work closely with hiring managers to establish recruitment processes, timelines, sourcing and marketing efforts for your assigned requisition load. This position frequently partners with leadership to address non-routine issues, strategizes unique solutions, and ensure compliance with unit, institutional, state, and federal requirements.

 

The Senior Faculty Recruiter proactively identifies opportunities for process improvements and develops standard operating procedures for use across the MEO group. The role requires critical thinking, strong organizational skills, and the ability to adapt workflows to meet changing operational needs while upholding service excellence.

 

This position serves as a trusted resource for department leadership and staff. By fostering collaborative relationships and implementing practical solutions, this position ensures consistent, high-quality support aligned with institutional goals and priorities.

Function/Duties of Position:

Strategic Faculty Recruitment:

• Partners with departments across the School of Medicine to implement full-cycle, strategic faculty recruitment plans (in accordance with Strategic Faculty Recruitment SOP) for designated requisitions/departments.
• Influence hiring teams to promote successful outcomes.
• Conducts intake meetings with hiring managers to understand and refine job criteria with a focus on identifying ideal candidate profile.
• Reviews job postings to ensure alignment with OHSU values and employment brand, using inclusive language and ensuring the posting is compelling to candidates.
• Executes innovative strategies to attract diverse, qualified talent.
• Screens candidates and work with hiring committees on the selection process.
• Manages candidate communication and the candidate experience, planning proactively for candidate interactions throughout the process and responding to requests and concerns that arise with promptness and empathy.
• Works closely with candidates through each step of the process to ensure a seamless and exemplary candidate experience.
• Provide guidance to SOM hiring leaders regarding all areas of recruitment, including leading an inclusive process, addressing concerns during interviews, and making equitable decisions.
• Attend career fairs and events throughout Portland, Oregon, and the US in support of faculty recruitment, in collaboration with other team members.
• Collects and analyzes data regarding recruitment and retention of employees; develops recommendations for policy or procedure changes based on data.
• May assist with writing, submitting, and delivering faculty/fellow/APP offer letters.
• May work with staffing and locums agencies, in partnership with department and Recruitment Manager, for assigned requisitions. 

Candidate Sourcing

• Sources a pipeline of qualified candidates through messaging, marketing and job announcement placement.
• Identify and engage prospective candidates.
• Collaborate with hiring managers and departments to understand provider requirements and develop sourcing strategies tailored to the role to recruit diverse talent.
• Utilize and master various sourcing techniques and strategies to identify and attract candidates.
• Engage with potential candidates through personalized outreach, phone calls, email communication, and messaging to establish relationships and promote our employer brand.
• Regularly update hiring managers and departments on the status and progress of sourcing efforts for their active recruitments.
• Develop networks for various specialties and disciplines including hard to fill faculty positions and other identified high-profile roles.
• Identify requistiions in need of additional sourcing services and work with the Manager of Faculty Recruiting to engage with departments.
• Track sourcing efforts and outcomes and maintain and report on sourcing metrics.
• Provide insights on sourcing strategies and methods, candidate pipelines, and market trends.
• Manage workload to ensure all positions in the sourcing portfolio are receiving appropriately distributed attention and effort. 

Employee and Manager Support:

• Answers and triages inquiries related to recruiting/sourcing and/provides functional guidance and education to employees, faculty and leadership.
• Refers questions and issues outside the scope of this position to the appropriate administration leadership, HR COE, manager or central office as appropriate.
• Coordinates with HRBP on projects or issues as needed.
• Maintains up to date knowledge of OHSU policies, policy changes and resources to provide accurate and timely information.
• Maintains working knowledge of collective bargaining agreements to ensure practices comply with contract terms. Shares updates with department leaders of new agreements and changes. 

Process Improvement and Team Support:

• Identifies and proposes opportunities and strategies to improve processes, efficiency and service. Participate in improvement initiative efforts, following lean methodology (such as OPEX) where possible.
• Works closely with team members, sharing knowledge and experience to enhance the team’s effectiveness overall.
• Serves as a subject matter expert on one or more key responsibilities for team members and customer groups.
• Trains other team members or department staff in
• OHSU/department/team processes and policies as needed.
• Provides coverage and back-up for team members during heavy workload demands, vacations, leaves, departures or as requested.
• May represent MEO in various OHSU and SoM meetings and initiatives, reporting progress and information back to the management and group. 

Professional Development:

• Identifies and pursues opportunities for personal and group professional development.
• Shares new knowledge and skills with team members when appropriate.
• Remains up to date with OHSU news and developments by attending meetings, townhalls, and reading OHSU Now and other email communications. 

Compliance and Expectations:

• In all responsibilities, ensure consistent compliance and adherence to applicable regulations, institutional policies, collective bargaining agreements, and professional standards and best practices for self, direct reports and the MEO group. Always promotes the mission of OHSU, SoM and the supported department(s) through professional standards of customer service, reliability, productivity, professionalism, accuracy, timeliness and problem solving.

Other responsibilities and special projects as assigned. 

Required Qualifications:

• Bachelor’s degree in Human Resources, Business Administration, or relevant field, or equivalent combination of education and experience AND

• Five years of progressively responsible recruitment experience, which includes managing a requisition load, recruiting hard to fill positions, creating recruitment plans and sourcing strategies. Equivalent experience within staffing, would be considered.

• Demonstrated experience in recruiting and/or sourcing on hard-to-fill positions.

• Excellent interpersonal skills to interact with faculty, providers, staff, students, and visitors with diverse backgrounds at all levels within OHSU and in the community. 
• Ability to write concise, logical and grammatically correct correspondence, reports, and other written materials. 
• Demonstrated computer literacy with moderate skill and knowledge of MS Office and email applications.
• High critical thinking skills and self-motivated to identify needs and appropriate solutions. 
• Exceptional attention to detail to ensure accurate information.
• Highly organized and with strong time management skills.
• Ability to speak on a one-on-one or group basis to obtain and clearly convey information.  
• Ability to work independently and as part of a team while being collaborative in resolving problems.
• Ability to manage and perform multiple tasks under conditions of fluctuating workloads, competing requirements, and changing deadlines.

Preferred Qualifications:

• Demonstrated abilities in employee recruiting, including provider or executive recruiting.
• In-depth experience with sourcing software, such as SeekOut.

Additional Details:

• Location: Remote in accordance with OHSU’s Remote Work policy #03-30-140. May require occasional onsite work at OHSU’s Portland Marquam Campus as needed.
• Schedule: 1.0 FTE (expected 40 hours per week), Monday – Friday during normal business hours (~08:00-17:00); occasional evenings and weekends as needed.
• Requires ability to respond quickly and appropriately to urgent situations that may arise.
