The Program Manager will coordinate and administer all aspects of ongoing programs, ensuring compliance and supporting special project initiatives while engaging in data analysis and program budgeting.
Responsibilities
- Supervising the day-to-day operations of the administrative department and staff members
- Developing, reviewing, and improving administrative systems, policies, and procedures
- Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained
- Working with the accounting and management teams to set budgets, monitor spending, and process payroll and other expenses
- Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions
- Collecting, organizing, and storing information using computers and filing systems
- Overseeing special projects and tracking progress towards company goals
- Building and expanding on skills by engaging in educational opportunities
- Maintain grant compliance and reporting, including outcome measurement and grant budgets—taking responsibility for meeting high standards of effectiveness, timeliness, and completeness, including:
- Monitoring and maintaining funder reporting schedules and requirements
- Tracking progress toward organizational programmatic outcomes and goals
- Requesting reimbursements and drawdowns as needed
- Drafting compelling progress reports and targeted program updates (e.g. blog posts, press releases, FB and twitter posts) to funders that fully capture programmatic success
- Assembling all necessary supporting materials and documents including budget reports, outcome measurements, success stories, etc.; submit reports to funders and investors
- Maintaining master calendar of grants and prospects and all associated files and correspondence
- Maintaining library of grant support documents including resumes, bios, IRS forms, Board/staff diversity lists, etc
- Identifies and evaluates potential future funding sources and contributes to the submission of grants and contracts supporting the program, including the annual submission and writing of all content areas and budgetary sections of grant applications
- Arrange logistics for meetings, events, and travel
- Collaborate with the Trajectory of Hope leadership team to implement an effective program
- Assume leadership of program initiatives as appropriate
- Other TOH duties as appropriate and assigned
Skills
- 3+ years of work experience with administrative and/ or grants management
- Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections
- Knowledge of budgeting and fiscal management principles and procedures
- Strong ability to build relationships with a variety of stakeholders
- Exceptional written and verbal communicator
- Thrives in a fast-paced environment and operates with a sense of urgency
- Exceptional organizational skills
- Strong ability to multitask and prioritize
- Ability to work independently as well as with a team
- Evidence of using data to improve processes and outcomes

- B.A. Degree required in related fields of education, business, finance
- Master Degree (preferred)
