QuarterLine Consulting Services, LLC is seeking a professional and organized Administrative Assistant to provide support to a corporate team delivering government staffing services. The role involves coordinating administrative tasks, managing communications, and ensuring operational efficiency in a remote setting.
Responsibilities
- Provide general administrative and project support to program managers, back-office personnel, and operational team members supporting government staffing contracts
- Assist with timesheet coordination, reminders, follow-up, basic tracking, and escalation of missing or incomplete submissions in accordance with company and contract procedures
- Schedule internal and external meetings, coordinate calendars, prepare agendas, distribute meeting materials, and support virtual meeting logistics
- Attend meetings as needed to capture notes, action items, decisions, owners, and due dates; distribute meeting summaries and track follow-up items through completion
- Support remote employees by responding to routine administrative inquiries, helping route requests, sharing resources, and coordinating with appropriate internal teams
- Conduct employee outreach to support engagement, collect updates, and help maintain accurate employee communication
- Draft, format, update, and maintain standard operating procedures, work instructions, templates, trackers, rosters, and other program documentation
- Maintain organized electronic records, filing structures, trackers, and shared documentation repositories to support contract compliance and operational continuity
- Support daily operations across multiple task orders by monitoring administrative deadlines, updating status logs, preparing reports, and helping ensure timely completion of recurring tasks
- Coordinate communications between corporate support functions, program leadership, field employees, and other stakeholders as needed
- Perform additional administrative, clerical, and operational support duties as assigned to meet changing program needs
Skills
- US Citizen
- Bachelor's degree
- 1 or more years of experience
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and recurring administrative processes
- Excellent written and verbal communication skills with the ability to interact professionally with employees, managers, corporate staff, and external stakeholders
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and Teams
