Role Overview
We are seeking a highly capable Operations & Administrative Generalist to serve as a trusted problem-solver across the organization. This role is ideal for someone who thrives on ownership, autonomy, and variety — a true “go figure it out” professional who can take on necessary but often overlooked operational tasks and drive them to completion without handholding.
This is not deep analytics or reporting role. Instead, it is a wide-ranging generalist position focused on execution, follow-through, and operational reliability.
Responsibilities
• Set up, manage, and maintain payroll-related tax accounts (federal, state, local)
• Own access and credentials for systems such as EFTPS and other tax portals
• Communicate directly with federal, state, and local government agencies to resolve issues, open accounts, or answer inquiries
• Ensure compliance-related tasks are completed accurately and on time
• Issue and manage employee credit cards
• Monitor usage and ensure adherence to company spending policies
• Serve as a gatekeeper for expense-related questions and escalations
• Review employee purchase requests and vendor orders
• Act as a line of defense to ensure purchases are business-related and appropriate
• Coordinate with vendors as needed to resolve issues or questions
• Maintain records of company vehicles, including assignments, registrations, and renewals
• Track tickets, violations, and related documentation
• Serve as the primary point of contact for fleet-related matters
• Take ownership of short-term, cross-functional operational tasks that may take an hour or two but are critical to keeping the business running smoothly
• Step into undefined problems, determine next steps, and execute without excessive direction
• Support leadership with operational clean-up, process follow-through, and miscellaneous needs as they arise
Requirements
• 3–5 years of relevant experience in operations, administration, finance support, or a similar generalist role
• Strong problem-solving mindset with the ability to independently navigate unclear or unfamiliar situations
• Comfortable contacting external agencies, vendors, and partners by phone or email
• Solid Excel skills (tracking, organizing, basic formulas)
• High level of ownership, reliability, and follow-through
• Ability to manage many small but important tasks simultaneously
• No degree required; degree type is agnostic and experience is valued over formal education
