**Job Summary**
As a Client Scheduler, you'll play a critical role in supporting our growing client base by coordinating appointments, ensuring accurate communication, and providing exceptional customer service. You'll act as a key point of contact between clients, researchers, and study participants, managing scheduling logistics, responding to inquiries, and providing timely, professional support that reflects arenaflex's standard of excellence.
**Key Responsibilities**
* Schedule and confirm interviews, focus groups, and consultation calls using internal tools and calendars
* Respond to participant and client inquiries via phone, email, or live chat in a timely and professional manner
* Ensure that all appointments are accurately logged, confirmed, and communicated
* Provide reminders and follow-up messages to minimize missed appointments
* Assist with intake, rescheduling, or documentation support as needed
* Maintain up-to-date records of client interactions within our CRM system
* Coordinate across multiple time zones and calendars to ensure accuracy
* Escalate scheduling conflicts or urgent concerns to the project management team
**Qualifications**
* High school diploma or GED required; some college or customer support training preferred
* Minimum 3 year experience in administrative, scheduling, or customer service role (remote or in-office)
* Excellent communication and interpersonal skills
* Strong attention to detail and time management
* Proficiency with Microsoft Office, Google Calendar, Zoom, and scheduling software
* Ability to work independently and reliably in a remote setting
* Familiarity with market research environments or client-facing industries is a plus
* Must have a dedicated workspace, high-speed internet, and strong organizational skills
