As a Business Operations / GTM Assistant, you will own the day-to-day operational backbone of our GTM and business functions — keep deals, contracts, payments, and vendor relationships moving accurately and on time, and build the systems that make the repeatable work disappear.
What you’ll be doing:
Business OperationsSend contracts/agreements for signature, track status, and file signed copies to the right customer record
Keep contract and agreement templates current as requirements evolve
Process vendor and ad hoc invoice payments; monitor and resolve failed payments daily
Track referral/partner payments and confirm they're issued and logged
Check usage data regularly to flag customers approaching or likely to incur overages
Ahead of customer contract renewals, pull usage/account data so the team can review terms with full context
Confirm billing/subscription systems are updated on customer offboarding and coordinate related tickets
Manage recurring vendor/partner billing and monthly cost-allocation reporting for accurate P&L reporting
Track security questionnaires to completion in a central status tracker
Process weekly reimbursements and coordinate company card issuance/requests
Track and incorporate HR policy updates
Document SOPs and flag where AI or other automation could take over manual work
Spot process improvements and help drive their implementation, not just flag them
Handle ad hoc operational requests as they come up
GTM
Create/maintain CRM records for sales and partner-referred activity, keeping attribution accurate
Follow up on open deals to keep pipeline status current
Support outbound outreach and keep the target account list current
Update ARR dashboards and deal-status reports (open, closed won, closed lost, etc.)
Monitor shared team inboxes and calendars, and circulate status updates
Create ad hoc reports as needed
Keep the shared drive current with all signed customer-related documents
Qualifications and Requirements:
Roughly 1–3+ years in business operations, sales operations, executive support, or similar
Organizational range — owns many concurrent, detail-heavy workflows without
dropping things
Accurate invoicing and payments — handled with accuracy and discretion
CRM fluency — keeps a CRM clean and current, or learns fast
Contract operations — manages the contract signature process end to end
Written communication — clear, professional follow-ups internally and with customers
Proactive follow-through — closes the loop without being asked
Handling priorities — juggles competing priorities across
Business Operations and GTM, ensuring follow-through on both Multi-tool comfort — CRM, payments, HR, and contracts
AI-forward mindset — motivated to use AI tools to remove repetitive manual work
Not a fit
Wants a narrow, single-function role — this spans finance, contracts, CRM, HR ops, and GTM support
Needs heavy oversight rather than driving follow-ups independently
Uncomfortable with financial/payment responsibility and close attention to detail
Not interested in using AI tools to streamline their own workflow
Can't prioritize, communicate clearly, and take initiative
Not willing to learn and adapt
